We’re very proud to announce that we are continuing our partnership with Orchid Events as the official housing provider of the 2026 National Beta Convention. All reservations for our host hotels will be through their system.

Hotel booking opens on March 25 at 9 AM (EST) or new reservations within the official room block at the Gaylord Opryland.
The deadline to book hotels is May 12.

Room Rates

Standard rooms are available for $272 per night. Resort fee is included in the room rate. (Tax not included).
There is no guarantee in room type. It will be based on room occupancy.

Soundwaves is a 4 acre, 3-level luxury indoor/outdoor water experience with dedicated recreation zones for adults, young children and families. Room reservations do not include admission to Soundwaves Water Park.

Reservation Overview

Cancellation Policy

Reservations cancelled between the initial time of booking and Friday, May 8th, 2026 will be charged a $10 cancellation fee for each room cancelled.
Cancellations between Saturday, May 9th, 2026 and 72 hours prior to arrival will be charged a $199 cancellation fee per room cancelled.

Cancellations made within 72 hours of arrival will be charged one night’s room and tax by the hotel.

Frequently Asked Questions

Starting April 20, you may contact the hotel for any additional payment documentation you may need. Do not contact the hotel before this date as they will not yet have received the record of your stay from Orchid.

The credit card used to reserve rooms is for guarantee and is only used in the event of late cancellation or no-show. Final payment for all rooms must be made by one of the options below.
If you are submitting final payment by credit card or check prior to arrival, please use this housing acknowledgement as your pre-invoice. Submit it to your finance department for processing, ensuring the payment is made directly to your confirmed hotel.
Final billing – including calculations of all charges and payment collected will be handled directly with the hotel based on final room usage.

1. Final Payment by Credit Card in your possession:

If you are paying for your rooms using a credit card in your possession at check-in, nothing else needs to be done.

2. Final Payment by Credit Card not in your possession:

If you are paying the final payment with a credit card not in your possession, you will need to complete a secure credit card link for Gaylord Opryland Resort. Please send an email request to gh.bnago.deposits@gaylordhotels.com and a secure link will be sent within 48 business hours. Complete the link with the requested information and return no later than 14 days prior to arrival. If the hotel does not receive the authorization form prior to 14 days before arrival, you will need to provide a valid credit card in your possession at check-in.

3. Final Payment By Check:

Payments for all schools must be paid in full NO LATER THAN 14 days prior to arrival.

Please include your school name, reservation acknowledgment numbers, attendee names, and arrival date with your check payment to ensure the check is applied to the reservation(s). Retain a copy of your check for your records.

The check must be mailed directly to Gaylord Opryland; any housing payments sent to the National BETA Club or Orchid Events will be returned to the sender.

If your school requires the hotel to be listed as a vendor, please email Beta@orchid.events to get the hotel’s W9. (If sending an email, please include the name of your convention’s state in the subject line.)

Hotels cannot and will not accept a check as a form of payment upon check-in.

A credit card is required to hold a reservation in your name. The credit card will not be charged at the time of reservation but will be used to enforce cancellation fees, if applicable. After housing closes, your card information will be provided to the hotels for any applicable deposits and cancellation or no-show penalties.

If you need to book more than 25 rooms, you’ll need to complete two separate booking sessions.

We ask that you do not contact your chosen hotel directly “to be sure” until after [INSERT DATE] Please understand that processing your reservations from Orchid Events into the hotel system will take a few days. Rest assured that if you have received a master acknowledgement or confirmation number already from Orchid Events, the hotel will honor your booking. Thank you for your consideration.

This number depends on the number of rooms you’ve booked, you’ll either see multiple confirmation numbers or one master acknowledgement number. This is the number or numbers you’ll need when registering for National Convention to receive the Stay to Save rate. If you booked 4 or less rooms, you’ll receive one confirmation number per room. If you booked 5 or more rooms, you’ll receive one master acknowledgement number for all rooms.

Extra hotel reservations cannot be transferred to another club or person.

No, all reservations must be made through the Orchid online booking link. Please do not call Gaylord Opryland directly to book.

Individuals making room reservations for multiple schools need to book separately for each school.

If you plan to have families book rooms on their own, they’ll need to provide you with their individual confirmation numbers prior to your convention registration. We suggest setting up an online form (Google Forms work great) where families can submit their numbers.

This number will be listed on your confirmation screen at the time of booking but will also be emailed to you. The confirmation will come from info@cvent.com. Room reservations are not finalized unless an acknowledgement number is received.

To update your reservation, visit the booking page and click Manage Existing Reservation. You’ll need your confirmation or acknowledgement number as well as the email address of the individual who made the reservation. You can make changes to your registration until May 12.

The official room block for our convention is June 16 through June 28. If you’d like to extend your stay before or after your convention starts, you’ll need to book directly with the hotel outside of our room block for those dates.

Yes, parents/guardians can book hotel rooms directly through Orchid. However, dedicated parent registration is no longer available beginning with the 2026 National Convention. Any parents/guardians who book hotel rooms should provide sponsors with the confirmation numbers in order to be registered at the Stay to Save rate.

Cancellations made within 72 hours of arrival will be charged one night’s room and tax by the hotel.

Gaylord Opryland will only accept a valid Federal Tennessee State or 501 c3 Form (any state).

The exemption will only apply to the sales tax of 9.75%.
The occupancy tax (7%) and city tax ($2.50) are not exempt.
Payment must be made by the organization that holds the tax exemption (cannot pay with personal funds).
