Convention Moving to a Virtual Format
Due to the continued impact of recent winter weather on road conditions, along with additional winter weather forecasted, we have made the difficult decision to transition all North Carolina State Conventions (Elementary, Junior, and Senior Beta) to a fully virtual format.
After careful consideration, we explored alternative dates with the convention facility. Unfortunately, no other dates were available that both fell within the convention season and provided clubs adequate time to plan for National Convention.
This decision was not made lightly. Moving to a virtual convention ensures that all registered clubs and students are able to participate, rather than risking that some clubs would be unable to attend due to travel limitations and safety concerns. Our top priorities remain equitable access, safety, and providing a meaningful convention experience for every Beta member.
We understand that this change may be disappointing, and we sincerely appreciate your flexibility and understanding. Our team is committed to delivering a high-quality virtual convention experience that continues to celebrate student achievement, leadership, and the hard work of your clubs.
How It Works
A Virtual State Convention allows students to participate fully online while showcasing their talents and achievements.
- Students will submit competition entries (photos, videos, and/or written descriptions) by a designated deadline.
- Following the submission period, judges will review all entries during a scheduled judging window.
- Winners will be announced during a live virtual General Session.
Campaigns and elections will also take place virtually. Students will upload campaign materials, including speeches and rally videos, and voting will occur during a scheduled voting window.

Hotel Cancellations
Clubs Booked Through Our Hotel Partner, Orchid
If you booked through our hotel partner, Orchid:
- Reservations will be automatically cancelled. No action is required.
- Sponsors should not contact the hotel directly.
- If your room has already been paid for, a refund will be issued to the original form of payment.
- Please allow up to two weeks for the refund to process.
- Contacting the hotel directly may delay the refund process.
Rooms Not Booked Through Orchid
Sponsors will need to contact their hotel directly to discuss cancellations and/or refunds.
Refunds
All registered guests and sponsors will be automatically refunded via their original method of payment.
Additional refunds will be available for clubs or members who choose not to participate in the virtual convention, provided the member has not competed virtually.
Sponsors should check their email for the refund form, which was be sent directly to the email address used during registration.
